A practical method
A tool decision matrix
A decision matrix with task criteria, dated candidate records, observed limitations and a fallback. Work through the prompts in your own notes. No information is submitted or saved here.
Define the task
Write input, expected output, unacceptable error, user skill level and whether a manual method suffices.
Record candidates
For each candidate, keep its original official destination, exact version, check date and maintainer. Do not treat a generic preview or footer link as a verified tool.
Score only observed fit
Use the same non-sensitive fixture and criteria for every option. Record failure cases, accessibility and export path; leave untested fields unknown.
Check operating boundaries
Confirm data recipients, retention, permissions, geographic availability, current terms and usage cost from authoritative sources before recommending adoption.
Decide and review again
Name a decision owner, fallback, next review date and conditions that would retire the recommendation. A tool index needs maintenance, not a one-time ranking.
Record the outcome
- What is the proposed next step, and who owns it?
- What evidence supports it, and what remains unknown?
- What would make you pause or change direction?
- When will the decision be reviewed?
Keep private details in your own records. This is a reading guide, not a submission form.
